An Automated Medical Student Performance Evaluation Software

Overview

In the United States and Canada, a Medical Student Performance Evaluation (MSPE) is required as part of a medical student’s residency application. The MSPE includes specific information from the student’s academic record including both didactic and clinical courses. The Automated Student Affairs Processes (ASAP) is a user-friendly, platform system that can automatically compile and format relevant medical school information to generate a MSPE quickly and accurately. The ASAP system could potentially address many of the issues that occur annually when medical school student affairs offices prepare MSPEs.

The University of Maryland, School of Medicine’s Office of Student Affairs (OSA) and Medical Education (OME) have created Automated Student Affairs Processes (ASAP) software application to assist in the compiling and formatting of MSPEs. Launched in 2011 at the University of Maryland, Baltimore medical campus, the system has demonstrated the ability to generate MSPEs quickly and accurately. The current ASAP system can automatically compile the data imported by a student affairs personnel or a third party user. Built in capabilities includes an editing tool that allows for quick corrections and a tracking and reporting mechanism so that the status of existing application can be followed. The ASAP software allows medical school student affairs offices to cut down on their MSPE administrative tasks while eliminating administrative errors.

Applications

Each year, approximately 16,000 medical students enter residency, requiring the generation of a customized MSPE letters for each student. For medical school student affairs offices managing the MSPE applications, this is an overwhelming task that must be completed before the October 1st deadline of every year. The MSPE contains the assessment of a student’s performance in medical school, clinical faculty's comments on evaluations, scholarships, awards and community service information. Mistakes often occur due to the sheer volume of data and applications compiled. The MSPE is a critical component of a medical student’s career as it can have a continuing effect as part of the application process for a medical license, hospital privileges or insurance participation.
